MARKETING AUTOMATION
The follow-up that never happens manually — built into your system.
Most businesses collect leads and then fail to follow up consistently.
Sales reps are busy, inboxes get ignored, and hot prospects go cold while waiting for a response that never comes. The lead who filled out your form yesterday is talking to a competitor today, not because your offering is inferior, but because no one followed up fast enough or consistently enough to keep them engaged.
Marketing automation solves this at the system level. Instead of relying on individuals to remember to follow up, the system does it automatically — the right message, at the right time, to the right segment. A new lead gets an immediate response. A prospect who opened your proposal but didn't respond gets a check-in three days later. A customer who hasn't bought in six months gets a re-engagement offer. None of this requires anyone on your team to remember to do it.
Most small and mid-size businesses either don't have marketing automation, or they set it up once with generic templates and wonder why it doesn't work. Generic automation is easy to ignore. Automation that's built specifically for your sales cycle, your offer, and your customer's actual objections is a different thing entirely. We build the latter.
This service works closely with our CRM & Automation system and integrates naturally with our AI chatbot and virtual receptionist builds — together, they cover the full lead lifecycle from first touch to closed deal.
Automation that moves leads through your pipeline without manual effort.
Automated email sequences
We write and configure email sequences triggered by specific lead behaviors — form submission, free consultation booked, proposal sent, no response after X days. Each sequence is written for your specific offer, not copied from a generic template. The emails sound like they come from a real person who knows the prospect's situation, because that's what gets opened and responded to.
SMS follow-up flows
Email open rates have been declining for years. SMS open rates remain above 90%. For time-sensitive follow-up — appointment confirmations, proposal reminders, missed call recovery — SMS automation closes the gap between a lead going cold and a conversation happening. We configure SMS flows that comply with opt-in requirements and are written to get a response, not to read like a marketing blast.
Lead nurture tracks by segment
Not every lead is in the same stage of the buying process. Someone who just found you through search is different from someone who got a proposal six weeks ago and went quiet. We build separate nurture tracks for different lead segments — based on source, service interest, stage in the pipeline, or any other attribute your CRM tracks — so each prospect receives messaging appropriate to where they actually are.
Re-engagement campaigns for cold leads
Most businesses have a list of leads who expressed interest, received a proposal or quote, and then went silent. That list has real value — these prospects already knew what you offered and were interested enough to inquire. A well-designed re-engagement sequence recovers a portion of these every time it runs. We build the sequence, configure the triggers, and set the criteria that determine which leads enter it.
CRM workflow automation
Automation that doesn't connect to your CRM creates its own mess. We configure the workflows inside your CRM so that automations trigger the right deal stage updates, task assignments, and pipeline movements. When a lead responds to an email sequence, the deal stage updates. When a proposal is sent, a follow-up task is created. The system reflects reality without anyone manually maintaining it.
Reporting dashboards
We set up reporting so you can see which sequences are working, which aren't, and where leads are dropping out of the pipeline. Open rates, click rates, response rates, deal conversion by sequence, and pipeline velocity are all visible in a single dashboard. This is how you improve the automation over time — not by guessing, but by knowing what the data shows.
Businesses with sales cycles that require more than one conversation.
Businesses with longer sales cycles
If your sales process involves multiple touchpoints — discovery call, proposal, follow-up, negotiation, close — you need automation to maintain consistent contact without requiring your sales team to manually track where every prospect is. Automation handles the cadence; your team focuses on the conversations that need human judgment.
Service businesses with proposals and estimates
Contractors, consultants, agencies, legal and financial services firms — businesses that send proposals or estimates routinely — lose a significant portion of potential revenue to proposals that simply weren't followed up. Automated proposal follow-up sequences recover deals that would otherwise fall through the cracks without any additional effort from the team.
Businesses with untouched lead lists
If you have a CRM full of leads that haven't been contacted recently, a database of past inquiry emails, or a list of people who attended an event or webinar and were never followed up with — that list is an asset that's sitting idle. Marketing automation is the most efficient way to systematically work that list and recover value from it.
Businesses scaling without adding headcount
Hiring more salespeople or marketing coordinators to handle growing lead volume is expensive and slow. Automation extends the capacity of your existing team — allowing them to focus on high-value conversations while the system handles the routine touchpoints. This is how businesses scale their revenue without scaling their headcount proportionally.
What business owners ask before automating their follow-up.
What platform do you use for marketing automation?
It depends on your situation. We work with HubSpot, ActiveCampaign, GoHighLevel, and Klaviyo, among others. If you already have a CRM or marketing platform, we configure automation within it rather than migrating you to something new. If you're starting from scratch, we recommend a platform based on your business type, contact volume, and budget. There is no single right answer — the best platform is the one that fits your existing workflow and that your team will actually use.
Can you connect to my existing CRM?
Yes. Most of our marketing automation work happens inside or alongside an existing CRM. If your CRM has an automation layer (HubSpot, Salesforce, Pipedrive, GoHighLevel, Zoho), we configure sequences and workflows directly within it. If your CRM doesn't have native automation capabilities, we connect a dedicated automation platform via API or Zapier/Make integration. We've worked with enough CRM platforms that we're unlikely to encounter one we can't integrate with.
What's the difference between marketing automation and spam?
The difference is relevance and consent. Spam is unsolicited, irrelevant, and sent to people who didn't ask for it. Marketing automation, done correctly, sends relevant messages to people who have already expressed interest in your business — either by submitting a form, requesting a quote, or becoming a customer. The key factors are: did they opt in, is the content useful to them at this stage of their decision, and does the sequence have a clear exit point when they're no longer interested. We build automation that meets all three criteria and complies with CAN-SPAM and CASL requirements.
How long does it take to build?
A standard marketing automation build — one to three sequences covering new leads, proposal follow-up, and re-engagement — takes three to five weeks. This includes the strategy session where we map your sales cycle, writing the email and SMS copy, configuring the platform, testing each sequence end-to-end, and a review pass where we verify every trigger and exit condition before going live. More complex builds with multiple segments, advanced branching logic, or deep CRM integration take longer. We give you a specific timeline during the assessment, not a generic estimate.
Do I need a large list to make this worthwhile?
No. Marketing automation is valuable for businesses with modest lists if those lists contain qualified prospects who were never properly followed up with. A list of two hundred previous inquiries that were never re-engaged has real value that automation can recover. The threshold for "large enough to justify automation" is lower than most people assume. More relevant than list size is whether you have a sales cycle longer than one conversation and whether follow-up is currently happening inconsistently. If the answer to both is yes, automation will produce results regardless of your list size.
